This page explains what personal information Urban Wind Haven collects through this website, by phone and by email, what we use it for, who else sees it, and how you can ask us about it. We are a small space in Kagoshima, so the policy is short on jargon and specific about what actually happens. It is written with Japan's Act on the Protection of Personal Information (APPI) in mind.
1. Who is responsible

We are the business that decides why and how your information is used. The name of the person in charge of personal information is given on request, in writing, without delay.
2. What we collect
Through the enquiry form. Your name, email address, an optional phone number, the area you are asking about (yoga, community evenings, café corner, lifestyle conversation, something else) and the message you type. We ask for nothing else.
By phone or email. Whatever you tell us, plus the number or address you contact us from.
When you take part in something. If you join a class, a workshop or an evening, we may note your name, how to reach you and anything you choose to tell us so that we can run the session safely, for example an injury or a food allergy. Health-related details are sensitive. Please give them only when they matter for your safety, and we will use them only for that purpose.
Technical data. This website is a set of static pages and we run no analytics, advertising pixels or tracking scripts. The company that hosts the site may keep ordinary server logs (IP address, date and time, page requested, browser type) for security and operation. We do not receive those logs as a marketing tool.
3. Why we use it
- to read and answer your enquiry by email or phone;
- to arrange a free intro chat, a class, an evening or a café visit that you asked about;
- to prepare a written quote, terms and confirmation before anything is charged;
- to run a session safely when you have told us about an injury or allergy;
- to keep a record of what was agreed, and to deal with complaints or legal obligations.
We do not use your details to send newsletters or promotions unless you ask us to. We do not sell personal information and we do not build profiles of visitors.
4. Who else sees it
formsubmit.co (form relay). The enquiry form does not post to a server of ours. Your entries are sent to the third-party service formsubmit.co, which forwards them as an email to inquiry@urbanwindhaven.com. That service handles the message in transit under its own terms and privacy policy.
Google Fonts. The pages load the fonts Playfair Display and DM Sans from fonts.googleapis.com and fonts.gstatic.com. Your browser therefore sends your IP address and browser details to Google when a page opens.
Google Maps. The Home and Contact pages show an embedded Google Map of our address. Loading it sends the usual browser data to Google, which may also set its own cookies. The link "View on Google Maps" opens the Google service directly.
Our email provider. Messages sit in the mailbox of our email provider like any other email.
Authorities. We disclose information when the law requires it, for example in response to a lawful request from a court or the police.
Apart from these, we do not pass your information to other companies.
5. Transfers outside Japan
formsubmit.co and Google operate internationally, so your information may be processed on servers outside Japan, in countries whose data-protection rules differ from Japan's. If you would rather avoid this, do not use the form: phone us or email us directly, and block the embedded map in your browser if you wish. By sending the form you agree to the transfer described here.
6. Cookies and local storage
Our own pages set no cookies and write nothing to your browser's local storage. Third-party content (Google Fonts, Google Maps, formsubmit.co) is controlled by those companies. The Cookie Policy lists exactly what loads and from where.
7. How long we keep it
We keep an enquiry for as long as it is needed to answer you and to follow up on what was agreed. We do not run an automated deletion schedule and we do not promise a fixed retention period. If you want an enquiry removed, ask us and we will delete our copy unless the law requires us to keep it.
8. Security
We take reasonable care of the mailbox and of any paper notes. Ordinary email and an online form relay are not guaranteed to be private, so please do not send passwords, card numbers, identity documents or detailed medical records through them. We do not promise that data sent over the internet cannot be intercepted.
9. Your rights
Under the APPI you may ask us to disclose the personal data we hold about you, to correct it if it is wrong, to delete it, or to stop using it or passing it on in the cases the law provides for. Send the request by email or post to the address in section 1 and tell us what you want. We may need to confirm that the request really comes from you, and we answer without undue delay. If we cannot do what you ask, we will say why.
10. Children
The website is meant for adults. If a young person under 16 wants to take part in a class or event, we ask that a parent or guardian contact us first and we will not collect a child's details through the form.
11. Changes to this policy
If our practice changes, for instance if we add a booking system, we will update this page and the date above before the change takes effect.
